Getting Started

Creating an Account

Step 1: Visit the Registration Page

Navigate to /register to access the registration form.

Step 2: Select Your Language and Jurisdiction

  1. Language: Choose your preferred language (English, Spanish, French, or Russian)
  2. Jurisdiction: Select your location:
    • United States (International): For US-based users
    • Mexico: For Mexico-based users (LFPDPPP)

Step 3: Enter Account Information

  • Username: Choose a unique username (required)
  • Email Address: For verification and recovery (required)
  • Password: Create a strong password (required)
  • Confirm Password: Re-enter to confirm (required)

Step 4: Enter Personal Information

  • First Name: Your first/given name (required)
  • Middle Name: Your middle name (optional)
  • Last Name: Your family/surname (required)

Step 5: Accept Legal Agreements

  • Terms of Service
  • Privacy Policy (HIPAA Compliant)
  • HIPAA Privacy Authorization

Step 6: Complete Registration

Click Create Account to submit your registration.

Logging In

  1. Navigate to /login
  2. Enter your Username or Email
  3. Enter your Password
  4. (Optional) Check Remember me
  5. Click Sign In

Password Recovery

  1. Click Forgot password? on the login page
  2. Enter your registered email address
  3. Click Send Reset Link
  4. Check your email for reset instructions
  5. Follow the link to create a new password

Troubleshooting Login Issues

  • Verify your username/email is correct
  • Check if Caps Lock is on
  • Try the password recovery option
  • Contact [email protected] if issues persist

Personal Dashboard

Your Personal Dashboard is the central hub for managing your health records and family members.

Header Navigation

  • Docsa Health Logo: Click to return to dashboard
  • Language Selector: Switch between languages
  • Settings Button: Quick access to account settings
  • Sign Out Button: Securely log out
  • Viewing Records For: Switch between profiles
  • Documents: Access your health documents
  • Settings: Manage account and security

Family Member Selection

  • Me: View your own health records
  • Children: Access records for dependent children

Quick Access Sections

Documents Section: Recent documents with quick access to name, file type, size, and upload date.

Appointments Section: Upcoming healthcare appointments with date, provider, location, and status.


Document Management

Documents Overview

The Documents page provides a comprehensive view of all your health records with powerful search and filtering capabilities.

Page Layout:

  • Upload Document Button: Add new documents
  • Search Bar: Find documents by name or content
  • Filters Button: Advanced filtering options
  • Document Categories: Tabs to filter by type
  • Document Count: Shows matching documents

Uploading Documents

Step 1: Click the Upload Document button

Step 2: Select files via:

  • Drag and Drop: Drag files into the upload area
  • Browse: Click to open file browser

Supported File Types:

Step 3: Upload begins automatically with progress indicator.

Viewing Documents

Click any document to open the preview panel with these features:

Document Audit History

Every document maintains a complete audit trail:

Version History: Version number, upload date, who uploaded, file size

Activity Timeline:

Activity Type Description
Created Document first uploaded
Viewed Someone viewed the document
Downloaded Document was downloaded
Shared Shared with a user
EXTERNAL_LINK_CREATED Share link generated
SHARE_ACCESSED Accessed via share link

Searching and Filtering

Basic Search: Type in search bar to find by file name, title, or keywords

Using Filters: Date range, document type, upload source, shared status

Category Tabs: All, Other, or specific categories


Sharing Documents

Docsa Health provides two ways to share documents:

  1. User Sharing: Share directly with other Docsa Health users
  2. External Links: Create shareable links for anyone

Sharing with Docsa Health Users

Adding a New Share:

  1. Click Add New Share in the sharing panel
  2. Search for user by username or email
  3. Select permission level:
    • View: User can only view
    • Download: User can view and download
  4. Confirm the share

Managing Existing Shares: View user name, date shared, permission level, and remove access.

Creating a New Link:

  1. Click Add New Share
  2. Configure settings:
    • Permission: View or Download
    • Expiration: When link stops working
    • Max Opens: Limit usage count
  3. Generate the link

Link Properties: Usage counter, permission level, URL, created date, expiration date

Link Actions:

Icon Action
Copy Copy link to clipboard
Extend Extend expiration date
Revoke Deactivate immediately

Security Best Practices

For User Shares:

  • Only share with trusted users
  • Review shared documents regularly
  • Remove access when no longer needed
  • Use View-only permission when possible

For External Links:

  • Set short expiration periods
  • Limit the number of opens
  • Monitor usage in audit history
  • Revoke links after use
  • Never share links publicly

Settings

Account Settings

Profile Information:

Field Description Editable
Username Your unique username Yes
Email Your registered email No (contact support)

Changing Username: Enter new username, click Save Changes

Shared Data (Family Management)

Adding a Dependent:

  1. Go to Settings > Shared Data
  2. Click Add Dependent
  3. Enter: Name, Date of Birth, Relationship
  4. Save the dependent

Managing Dependents: View profile, edit details, or remove from account

Important Notes:

  • Manage health records for children under 18
  • Manage records for elderly dependents
  • Children can create own account at 18
  • Records can be transferred when ready

Security Settings

Changing Your Password:

  1. Go to Settings > Security
  2. Enter Current Password
  3. Enter New Password
  4. Click Update Password

Password Requirements:

  • At least 8 characters
  • Uppercase and lowercase letters
  • At least one number
  • At least one special character

Device Management

View and manage devices that have accessed your account:

Information Description
Browser Chrome, Firefox, Safari, etc.
Operating System Windows, macOS, iOS, etc.
Status Active or Last active date

Removing Devices: Click remove button, device logged out immediately, consider changing password.

Security Best Practices for Users

Strong Passwords: 12+ characters, mix case/numbers/symbols, don't reuse

Account Protection: Enable MFA, review devices, log out on shared computers

Document Sharing: Share only with trusted parties, short expiration, revoke when done

Device Security: Keep updated, use antivirus, lock devices, caution on public WiFi
